The short version

  • We use your data to run Hoardo for you. We don't sell it, and there are no ads.
  • What you store in Hoardo (rooms, boxes, items, photos, lists) is yours. Delete your account and it's gone, apart from what you've added to rooms and lists other people share with you: that stays with them.
  • Hoardo's AI features send what they need to an AI provider, and only when you use them.
  • Analytics only run if you say yes.

Who we are

Hoardo is a free app for keeping track of what's in your boxes, run from Denmark. Hoardo is responsible for your personal data (the "controller"). Questions about your data go to privacy@hoardo.com, or by post to Hoardo, Helsinkigade 15, 2150 Copenhagen, Denmark.

What we collect

  • Your account: your email address, your name if you give it, and how you sign in (a password, which is stored scrambled and never readable, or Google or Microsoft). Also your settings: language, currency and what Hoardo shows.
  • What you store: rooms, boxes, items and their properties, notes, dates, photos, receipts, lists and what they keep (who has something, prices, sales), and the History of changes. Photos you add in Hoardo are saved without their location or camera details. Receipts are stored privately: only the people in the item's room can open them.
  • Hoardo's own notes: a short note about each item (what it is, a rough second-hand value), written by Hoardo so search and the assistant can find things. You don't see them; they go when the item goes.
  • Your chats with Hoardo: the questions you ask the assistant and its answers, so a conversation can carry on.
  • How much you use AI and connected apps: a daily count per account of AI scans, chat messages and calls from connected apps.
  • Sharing: the people you share a room or a list with, and what they can do. They see what's shared with them, and History shows who changed what.
  • Technical data: your IP address, browser and device, in our providers' logs, for security and to fix problems.
  • Analytics, only if you allow them: the pages you visit, taps and errors, without your name and without the text on screen (see Cookies).

How Hoardo's AI features use your data

AI only runs when you use a feature that needs it, and only with what that feature needs:

  • Photo scan: the photo goes to Google (the Gemini API) to find the items in it.
  • Receipts: a receipt you add (the cleaned-up photo, or the PDF) goes to Google (the Gemini API) to read its price, store and date.
  • Speech scan: what you say is transcribed live by Soniox, and the text goes to OpenAI to turn it into items or list entries.
  • The assistant (chat): your question, and what it looks up in your inventory to answer it, go to OpenAI.
  • Hoardo's notes and listings: item names, notes and categories go to OpenAI.
  • Tags and quick lookups: item names and your question go to TypeSafe (Jev), which picks categories and answers simple "where is…" questions.
  • Bringing things over from another app: spreadsheets, CSV files and exports are read on your device. Screenshots, photos of lists and PDF pages go to Google (the Gemini API) to be read, and Hoardo doesn't keep them. To work out what the columns are, their names and a few example values go to OpenAI, never the whole file. Photos in a Sortly export are fetched from Sortly's links.

These providers process the data on our behalf, to give you the feature. With OpenAI we send a pseudonymous identifier, never your name or email, so they can spot abuse.

Who else handles your data

We use these providers to run Hoardo:

  • Supabase: the database, sign-in and photo storage, in the EU (Stockholm).
  • Vercel: hosting; the app runs in Stockholm, and its network delivers pages worldwide.
  • OpenAI, Google (Gemini), Soniox and TypeSafe: the AI features above.
  • PostHog: analytics and error reports, in the EU (Frankfurt), only if you allow analytics.
  • Google (Tag Manager and Analytics): website analytics, only if you allow analytics.
  • Resend: the emails Hoardo sends, such as sign-in links, invites and reminders.
  • Google and Microsoft: only if you sign in with them.

Some of these are US companies or may process data outside the EU. Where they do, the transfer is covered by the EU–US Data Privacy Framework or the EU's Standard Contractual Clauses.

When you put a selling list on your sale page, anyone with the link can see your name and what's for sale (names, photos, prices, what's reserved or just sold), never where things are stored. People who ask about something there or make an offer give their name and email address: Hoardo emails their message to you, so they can see your address only once you answer, and keeps a copy for you until you delete your account. We don't share your data with anyone else, unless the law requires it.

Apps you connect

If you connect another app to your Hoardo, such as Claude or ChatGPT, it can look through what's in your Hoardo and change it when you ask it to. It gets what it looks up and what you ask it to change, never Hoardo's own notes about your things. That app is run by its own company, under its own terms and privacy policy, not ours. Only you can connect one, and you can disconnect it at any time in Settings › Connected apps.

Why we may use it

  • To give you Hoardo (our agreement with you): your account, what you store, sharing, AI features and the emails that go with them.
  • Our legitimate interests: keeping Hoardo secure, preventing abuse, fixing errors, and keeping AI costs in check so Hoardo stays free.
  • Your consent: analytics cookies. You can take it back any time.
  • The law: when we're legally required to keep or hand over data.

How long we keep it

  • What you store stays until you delete it. Deleting your account (Settings › Delete account) deletes your rooms with everything in them and their History, and your lists, photos and chats. What you've added to rooms and lists other people share with you stays with them: those boxes and items become the room owner's, with their photos, and your changes stay in that room's History.
  • Our providers keep logs and backups for a limited time.
  • AI providers may keep requests for a short time to monitor for abuse (OpenAI up to 30 days).
  • Analytics can't be traced back to you, and are kept for comparing over time.

Cookies

Hoardo uses a few cookies and similar browser storage:

  • Necessary: keeping you signed in, your language, your cookie choice, and settings such as the theme. These are always on.
  • Analytics, only if you allow them: PostHog, and Google Analytics through Google Tag Manager on the website. They help us see how Hoardo is used and catch errors. They never include what you store in Hoardo, and we don't record sessions.

Change your choice any time under "Cookie settings" at the bottom of the website or in the app's Settings.

Your rights

You have the right to see the data we have about you, to correct it, to delete it, to get a copy of it, to restrict or object to how we use it, and to take back your consent. Much of it you can do yourself in Hoardo: edit anything, export a room or a list as a spreadsheet, or delete your account. For everything else, email privacy@hoardo.com.

If you think we're handling your data wrongly, you can complain to the Danish Data Protection Agency (datatilsynet.dk) or the data protection authority where you live.

Children

Hoardo isn't meant for children under 13, and we don't knowingly collect their data. If you think a child under 13 has given us personal data, please contact us and we'll delete it.

Changes to this policy

When this policy changes, we update this page and the date at the top. If a change matters, we'll tell you in the app or by email.
