Hoardo alpha is live!Try it

IT asset management Every laptop, who has it, and when its warranty ends.

Hoardo is free IT asset management for small offices: every laptop, monitor, phone and dock gets an asset tag, a serial number and a status, sits in its room and cupboard, and is checked out by name to whoever uses it. It runs in the browser on any phone or computer, so there's nothing to install on anyone's machine.

100% free, no paid plan · Nothing to install · Your whole team

Hand out a loaner laptop: scan its tag, pick who takes it and when it's due back.
How it works

IT asset management in three steps

  1. Add your devices

Make a room for the office and one for the IT cupboard, with a numbered box for each shelf, rack or drawer. Add laptops, monitors and phones by typing them, or bring in the spreadsheet you keep today.

  2. Give each one its details

Switch on Hoardo's IT & equipment properties: serial number, model, status, department, purchase date and warranty end. Every device gets a numbered asset tag to stick on it.

  3. Hand out, count, get reminded

Check devices out to people by name on an asset list, count the spares on a stocktake, and get an email before a warranty runs out.

Hardware asset management without the spreadsheet

Switch on the IT & equipment properties and every device can keep its serial number, model, brand, status, condition, purchase date, warranty end, supplier, department and next service date. Add all of them in one tap, or only the ones you use. In a device's sheet they fold under one line, and the rows in a cupboard show its status and serial number at a glance.

Status is a dropdown: In use, In storage, In repair, Lost or Retired. Add properties of your own for what your office cares about, like RAM as a number, the operating system as text or Encrypted as yes or no.

A new loaner laptop: unfold IT & equipment, type its serial number, set its status.

A tag on every device

Hoardo numbers your tags for you, like IT-00107, with your own prefix. Tag new devices as they're added, tag the ones you tick, or give everything on an asset list its tag in one go. Print them as barcode labels on A4 sticker sheets or a label printer, and stick one under each laptop and on the back of each monitor.

Scan a tag with your phone's camera and the device opens: its serial number, where it lives and, when it's out, who has it. The maker's barcode can stay on it as a second code, and a keyboard-style barcode scanner works too.

Tag everything on the list, then print the tags as barcode labels.

Who has which laptop

Put the devices people take on an asset list. Its button checks a laptop out to a name you type or pick, with a back-by day for loaners and a reminder before it's due. Laptops that are late back turn red, and scanning a tag on the list checks it back in.

Sort the list by who has what to see everything one person has together. While a device is in, the list shows its status, so the MacBook in repair and the spare phone in storage are plain to see.

A laptop inventory with a loaner pool

Keep the loaners in their own box, like “#1 Loaner laptops”, and the ones at people's desks where they are. A laptop that's checked out is out of its box until it comes back, so the pool always shows what's free.

The loaner laptops' box: each one with its tag, serial number and status.

IT asset inventory you can count

Spare keyboards, mice, cables and adapters go on a stocktake list. Tap + or scan as you count: matching counts turn green, short ones orange. When you're done, “Use counted quantities” writes the counts back.

Say how many mice is too few and Hoardo emails you when the box gets there, before a new starter has nothing to plug in.

Computer inventory by room and cupboard

Every device lives in a room and a numbered box: the office desks, the IT store, the network cabinet. Search looks through all of them at once, by name, model, serial number or tag.

Counting the spare peripherals: one mouse short.

Every device's history, and your whole team

Each device has its own History: added, moved, edited, tagged, checked out and checked in, each with who did it and when. If something was changed by mistake, restore it from there.

Share the IT store with whoever helps with IT and pick what they can do: edit, or only view. Lists are shared on their own. People sign in with an email code, Google or Microsoft.

One loaner laptop's History: who had it, when it came back, when it got its tag.

Warranties and service dates

Tap “Notify me?” beside a device's warranty end and pick when: on the day, or up to 30 days before or after. The same works for a next service date, a lease end or any date property of your own. Hoardo sends an email and a notification in the app to whoever set it.

Add the receipt to a device and Hoardo reads the store, the price and the warranty from it.

Notify me 14 days before the MacBook's warranty ends, and the email that comes.

Bring the spreadsheet you have

Most small offices start with a spreadsheet of devices. Drop it into Hoardo's chat, as an Excel or CSV file. Hoardo plans the rooms and boxes from your locations, keeps the asset tags as codes and turns columns like Serial or Model into properties. You check the plan before anything is added, and one tap takes it all back.

Export a room, all rooms or a list as a CSV whenever you need the numbers somewhere else.

What this IT asset management is not

Hoardo is for the hardware a small office owns and hands out. It never touches the devices themselves:

  • No network discovery, agents or scans: you add devices by hand, by photo or from a spreadsheet.
  • No MDM: it can't lock, wipe, update or patch a device.
  • No software licences, seats or subscriptions.
  • No SAML or SCIM and no user directory: people sign in with an email code, Google or Microsoft, and a device's holder is a name you type or pick.
  • No depreciation, book values or audit reports.
  • It's built for small offices. Hundreds of managed devices need a dedicated IT asset management platform.

Free IT asset management, every feature included

Hoardo is 100% free, with no paid plan: every device, every room and everyone on your team. There's no price per device or per user.

Your list is never stuck here. Export it as a CSV whenever you like. For the rest of what a team owns, see asset management software.

Questions about IT asset management

What is IT asset management?

IT asset management is keeping track of the computers, phones, screens and other IT equipment a business owns: what each device is, its serial number and warranty, where it is and who uses it. Larger tools also handle software licences and manage the devices; Hoardo covers the hardware side for small offices.

Is there free IT asset management software?

Yes. Hoardo is free with every feature included: properties like serial number and warranty, asset tags and labels, check-outs by name, counts, reminders and sharing with your team. There's no paid plan.

What is hardware asset management?

Hardware asset management is the physical part of IT asset management: listing every device, tagging it, knowing where it is and who has it, and following it from purchase to retirement. In Hoardo each device is an item with a tag, a status and a History.

How do I keep an IT asset inventory?

Make a room for each place devices live and a box for each shelf or cupboard, add every device with its serial number and model, and stick a tag on it. Put shared devices on an asset list to see who has them, and count spares on a stocktake list now and then.

Can I keep a laptop inventory with who has each laptop?

Yes. Put the laptops on an asset list and check each one out to the person who has it, with a back-by day for loaners. Sort the list by who has what, and see in each laptop's History who had it before.

Can Hoardo find the devices on my network?

No. Hoardo doesn't scan networks or run agents on devices. You add devices yourself, one by one, from a photo or from a spreadsheet, and scan their tags with your phone.

Does Hoardo track software licences?

No. Hoardo is for physical things. It doesn't track licences, seats or subscriptions.

Can I import my computer inventory spreadsheet?

Yes. Drop an Excel or CSV file into Hoardo's chat. It plans rooms and boxes from your locations, keeps asset tags as codes and turns columns like Serial or Model into properties. Start from our free asset register template if you don't have one.

Can Hoardo remind me before a warranty ends?

Yes. Tap “Notify me?” beside a device's warranty end and pick when. Hoardo emails you and shows a notification in the app.
